About the Writer Quote and Invoice Builder

For freelance writers and small content agencies. On the Quote tab, add the work (pieces, words and a rate per word or per piece), a rush fee, the revision rounds included and the rate for extra rounds, the timeline, the advance and how long the quote is valid. On the Invoice tab, fill the lines from the quote, add the invoice number and date, the advance already received and how to pay you, and add GST only if you are registered, at the rate you type. You get a clean document with totals in Indian grouping and in words, checks before you send it, and print or save as PDF, copy as text and CSV. It runs in your browser; your PAN, bank and UPI details are saved only if you tick the box. It is not tax advice.

How it works

  1. 01

Fill in your details and the client's, then add the work on the Quote tab: one line per kind of work, charged per word or per piece. Add your terms, or try the example.

  2. 02

Print the quote or save it as a PDF, or copy it as text into an email. When the work is done, open the Invoice tab and press Fill from the quote.

  3. 03

Add the invoice number, the advance received and your payment details. If you are registered for GST, tick the box and type your GSTIN, rate and tax type. Fix what the checks mark, then print or save as PDF.

What goes on the quote and the invoice

The quote shows each line (for example 4 × 1,200 words at ₹1.50 a word), the subtotal, any rush fee, GST if you add it, the total in figures and in words, and your terms: revision rounds, delivery time, advance and balance, and the date the quote ends. The invoice shows numbered lines with quantity, rate and amount, the taxable value, GST lines if you are registered, the total in words, the advance already received and the balance due, and your bank or UPI details. The wording of the terms is our suggestion; every rate and number is yours.

GST, only if you are registered

Section 32 of the CGST Act says a person who is not registered shall not collect tax, so GST is added only when you tick that you are registered. The tool has no default rate: type the rate that applies to your service. CGST and SGST are half the rate each for a client in your own State; IGST is the full rate for a client in another State. If you are registered, rule 46 of the CGST Rules lists what a tax invoice must show, including your name, address and GSTIN, a serial number of up to 16 characters that is unique for the financial year, the date, the client's name, address and GSTIN if registered, the accounting code for services, the taxable value, the rate and amount of each tax, the place of supply for supplies between States, whether tax is payable on reverse charge, and your signature. The checks cover these points.

What this tool cannot do

It is not tax advice and does not decide whether you must register for GST, which rate or accounting code applies to you, or whether your client deducts TDS. It does not create e-invoices, send anything to the GST portal or keep a register of your invoice numbers, so keep your own list and never reuse a number. Amounts are rounded to the paisa line by line. Check the final document before you send it.

Frequently asked questions

Should a freelance writer charge per word or per piece?

Either works. Per word suits articles whose length is agreed in advance; per piece suits short work such as social posts or product descriptions, and pages where research takes longer than writing. You can mix both in one quote: each line has its own rate and is charged per word or per piece.

Do I have to add GST to my invoice?

Only if you are registered for GST. A person who is not registered shall not collect tax (CGST Act, section 32). Whether you must register depends on your turnover and your work: for services, registration is needed when aggregate turnover in a financial year is above ₹20 lakh (₹10 lakh in special category States), and some cases need it whatever the turnover. Ask your accountant.

What is the difference between CGST plus SGST and IGST?

When you and the place of supply are in the same State, CGST and SGST apply, each at half the rate. When they are in different States, IGST applies at the full rate. The tool splits or keeps the rate you type; your accountant can confirm the place of supply for your client.

How should I number my invoices?

Use a series you never repeat, for example AJ/2026-27/014. If you are registered for GST, rule 46 asks for a consecutive serial number of up to 16 characters, using letters, numbers, hyphens or slashes, unique for the financial year. The check counts the characters for you.

Are my bank and PAN details stored?

They stay in your browser. Your PAN, bank and UPI details are saved on this device only if you tick "Remember my PAN, bank and UPI details"; otherwise they are forgotten when you leave the page. The rest of the form is saved in this browser so you can come back to it. Nothing is uploaded, and Clear removes it all.
