How to use the GSTR-2B Reconciliation Tool

Read what the guide says

This is the GSTR-2B Reconciliation Tool.

Match GSTR-2B with your purchase register: credit at risk, missing invoices and supplier follow-up messages.

On the GST portal, open the Returns Dashboard, pick the year and period,

and download GSTR-2B as an Excel file.

Or press Try an example to fill in sample details.

Export your purchase register for the same months from your accounting software and paste it,

or open it as CSV, in the second box.

Read the credit at risk and the "do these first" list,

send each supplier its email or WhatsApp text, correct your books,

and download the CSV for your CA.

It matches the B2B invoices table only, not credit notes, debit notes, amendments, imports or ISD credit.

It runs in your browser, so nothing you type is uploaded.

Try it free on this page.

Runs in your browser. Nothing you paste is uploaded, and the tool never logs in to the GST portal. Only your business name, GSTIN and settings are remembered on this device. Not tax advice: check credit decisions with your CA.

1. Your GSTR-2B (B2B invoices)

GST portal: Returns Dashboard, choose the year and period, GSTR-2B, Download, then generate the Excel file. Open it, copy the B2B invoices table with its headings and paste it here.

Check the columns

The tool guesses each column from the header row. The supplier GSTIN and invoice number are needed, with the taxable value or the tax.

2. Your purchase register

Export purchases for the same months from Tally, Busy, Zoho or Excel. It needs the supplier GSTIN, the supplier's invoice number and the taxable value or tax; the date and tax heads make the match better.

About the GSTR-2B Reconciliation Tool

Paste or open the B2B invoices table from your GSTR-2B and your purchase register from Tally, Busy, Zoho or Excel. The tool matches them on supplier GSTIN and invoice number, even when the numbers are written differently, and checks the date, taxable value and tax. You get the GST credit at risk on invoices that are not in GSTR-2B, the invoices in GSTR-2B that are missing from your books, amount, tax type, date and GSTIN mismatches, double entries, a follow-up message for each supplier and CSV files. It runs in your browser: nothing you paste is uploaded, and it never logs in to the GST portal. It is not tax advice.

How it works

  1. Step 1

On the GST portal, open the Returns Dashboard, pick the year and period, and download GSTR-2B as an Excel file. Copy the B2B invoices table with its header row into the first box, or save it as CSV and open it.

  2. Step 2

Export your purchase register for the same months from your accounting software and paste it, or open it as CSV, in the second box. Check the columns the tool picked, and add your business name and GSTIN for the messages.

  3. Step 3

Read the credit at risk and the "do these first" list, send each supplier its email or WhatsApp text, correct your books, and download the CSV for your CA.

Why GSTR-2B decides your credit

Since 1 January 2022, section 16(2)(aa) of the CGST Act and rule 36(4) allow input tax credit on a purchase only when your supplier has reported the invoice in GSTR-1 or IFF and it shows in your GSTR-2B. GSTR-2B is a read-only statement the GST portal makes from what your suppliers file; monthly filers get it on the 14th of the next month. An invoice in your books that is not in GSTR-2B is credit you cannot claim yet. Section 16(4) sets the last date to claim it: 30 November after the end of the invoice's financial year, or the date you file the annual return if that is earlier.

How the matching works

Invoices are paired on the supplier GSTIN and a cleaned-up invoice number: capitals, no spaces, slashes or hyphens, no financial-year part and no leading zeros, so GVP/0041/26-27 and GVP-41/2026-27 match. Rows left over are paired by the same digits or the same date and amounts, then by the same number under another GSTIN. Each pair is checked for taxable value and tax within a tolerance you set (₹1 by default, our suggestion), CGST and SGST against IGST, and the date. This is our method; the GST portal's own Matching Offline Tool does a similar match with its own template.

What this tool cannot do

It matches the B2B invoices table only, not credit notes, debit notes, amendments, imports or ISD credit. It cannot see whether your supplier has paid the tax, cannot act in the Invoice Management System (IMS) for you, and does not know about records you kept pending there. Column names differ between software, so check the columns it picks. It is not tax advice: whether you claim a credit is your decision and your CA's, and the GST portal's figures are the ones that count.

Frequently asked questions

What is GSTR-2B reconciliation?

Comparing the purchases in your books with the invoices your suppliers reported, as shown in your GSTR-2B, before you file GSTR-3B. Credit can be claimed only up to what GSTR-2B shows, so every invoice that is missing or different is credit at risk, and needs a message to the supplier or a correction in your books.

When is GSTR-2B generated?

For monthly filers, on the 14th of the month after the tax period; quarterly filers get it on the 14th of the month after the quarter. It includes what suppliers filed up to a cut-off, so an invoice filed late shows in a later month's GSTR-2B. With the Invoice Management System, the GSTR-2B made on the 14th is a draft: if you accept, reject or change a record after that, recompute GSTR-2B before you file GSTR-3B.

What should I do about an invoice that is in GSTR-2B but not in my books?

Look for the bill first. If you bought the goods or services, enter the invoice in your purchase register so the credit is claimed. If you did not, you can reject it in the Invoice Management System on the GST portal before you file GSTR-3B; rejected records do not flow into GSTR-3B. Tell the supplier either way, and ask your CA if you are unsure.

How long do I have to claim credit on an invoice?

Under section 16(4) of the CGST Act, until 30 November after the end of the financial year the invoice belongs to, or the date you file the annual return for that year, whichever is earlier. For an invoice dated March 2026 (financial year 2025-26), that is 30 November 2026. The tool shows this date for every invoice still missing from GSTR-2B.

Does a match in GSTR-2B mean the supplier has paid the tax?

No. GSTR-2B shows what the supplier reported in GSTR-1, not whether they filed GSTR-3B and paid the tax. Under rule 37A, if a supplier has not filed GSTR-3B for the period by 30 September after the end of the financial year, the credit you took on those invoices must be reversed by 30 November, and you can claim it again once they file. Ask your CA how this affects you.
