About the Press Release Builder
Type your headline, the city and date, who is doing what, where, when and why, your quotes with names, the facts with their sources, a short "about" paragraph, the media contact and your links. The tool puts them in the order editors expect: dateline, first paragraph, details, quotes, key facts, about, contact and an end mark, as plain text and as HTML to copy, download or print. It checks the headline, the five Ws in the first paragraph, named quotes, numbers without a source, claims that need proof, contact details and the rel values on links. It runs in your browser and does not write new sentences.
How it works
-
01
Type the headline, city and date, then answer who, what, where, when and why. Or press Try an example to see a release for a sweet shop opening in Indore.
-
02
Add the details, a quote with the speaker's name and role, your facts with their sources, the "about" paragraph, the media contact and any links, and say where the release will go.
-
03
Fix what the checks flag, then copy the release as text for email or as HTML for your website, download it or print it.
Why the usual order matters
Editors and reporters get many releases. The usual order puts what they need first: a plain headline, then the dateline and a first paragraph that answers who, what, where, when and why, so the news is clear even if they read nothing else. Details, quotes from named people and key facts come next, then a short "about" paragraph and a contact who can answer questions. The order is a common convention, and the checks on length are our measures, not anyone's rules.
Links in a press release
Google's spam policies list links with optimised anchor text in articles, guest posts or press releases distributed on other sites as an example of link spam. Google asks that paid links be qualified with rel="sponsored" (rel="nofollow" is also accepted), and that link text be descriptive rather than "click here". So the HTML gives every link rel="sponsored" when you pay to send the release, and rel="nofollow" to links with keyword text when it goes to other sites for free. Links with your name or web address as their text stay plain.
What this tool cannot do
It does not write your release, check your facts or send it anywhere: it arranges what you type and points out what a journalist will ask about. It cannot tell whether a claim is true, so every number and claim it flags needs proof you can show. It does not promise coverage or links, and a news site may rewrite or ignore a release. It is not legal advice.
Frequently asked questions
What should a press release include?
A plain headline, a dateline with the city and date, a first paragraph that says who, what, where, when and why, a few paragraphs of detail, a quote from a named person with their role, the key facts and where they come from, a short paragraph about your organisation, and a media contact with a phone number or email. The tool has a box for each and puts them in that order.
What do "For immediate release" and "###" mean?
"For immediate release" tells editors they can publish the news now. If they must wait, write the date and time in "Embargoed until" and the label changes. "###", "Ends" or "- ends -" marks the end of the release, so an editor knows nothing is missing. Choose the one you prefer.
Should links in a press release be nofollow?
Google's spam policies name links with optimised anchor text in press releases distributed on other sites as link spam, and Google asks that paid links carry rel="sponsored" or rel="nofollow". If you pay a newswire, every link should be qualified. If you send the release to news sites for free, use your name or web address as the link text, or add rel="nofollow". On your own website, no rel value is needed.
How long should a press release be?
Long enough for the news and no longer. Our measure is about 150 to 800 words, with a first paragraph of up to 50 words and a headline of up to 100 characters. These are our suggestions, not rules: a small local story can be short, as long as the facts a reporter needs are there.
Does the tool write the release with AI?
No. It does not use ChatGPT or any other AI, and it does not write new sentences. If you leave the first paragraph empty, it joins your five answers into one sentence with a fixed pattern, which you can then edit. Everything else is your own text in the usual order.
