About the Service Price Calculator

For freelancers, consultants, agencies, clinics, salons and tutors. Type your monthly costs, the income you want, your working days and hours, the share of your time clients actually pay for and the profit you want to keep. You get the lowest hourly, day, session and project rate that covers it all, prices for packages, what a discount does to the hours you need, a comparison with what you charge now, whether your turnover is near the GST registration limit, prices with GST added and the cash you receive when a client deducts TDS. It runs in your browser and is not tax advice.

How it works

  1. Step 1

Choose the kind of work you do, then type your monthly costs, any yearly costs, the income you want each month and the profit margin you want to keep.

  2. Step 2

Add your working days and hours, your days off and the share of hours you can bill, the length of a session or a typical project, what you charge now, your GST status and any TDS rate your clients deduct.

  3. Step 3

Read your lowest rates and the steps under them, check the discount, GST and TDS sections, then copy the rate card or download the CSV file.

Why your rate is more than your pay divided by your hours

No client pays for the time you spend on emails, quotes, travel, accounts or learning, and leave, sick days and festivals take days out of the year. The calculator spreads your costs, your pay and your profit over the hours you can actually bill: working days × hours a day × the share of hours you bill. Our suggestion is to start at 60 to 70% for a freelancer and change the figure once you have tracked your own hours for a month. At the lowest rate every billable hour is already needed, so a discount means more hours or less money; the calculator shows both, and the list price that keeps your rate after a discount.

GST and TDS on your fees

Under section 22 of the CGST Act, a service provider must register for GST once aggregate turnover in a financial year passes ₹20 lakh, or ₹10 lakh for a business in Manipur, Mizoram, Nagaland or Tripura, and must apply within 30 days of becoming liable (section 25). Aggregate turnover counts all supplies under your PAN across India, including exempt supplies and exports. Below the limit you may register by choice, but an unregistered person cannot charge GST (section 32). A business client may deduct TDS from your fee; from 1 April 2026 TDS comes under section 393 of the Income-tax Act, 2025, which kept the earlier rates and thresholds. The tax deducted shows in your Form 26AS, and you claim it in your income tax return.

What this tool cannot do

It works out the lowest price that covers the figures you type. It does not know what clients in your area pay, how busy you will be or what your income tax will be. It does not set your GST rate, decide whether your services are exempt (for example, health care services by a clinical establishment, an authorised medical practitioner or para-medics are exempt under entry 74 of Notification 12/2017-Central Tax (Rate)), or tell you which TDS rate a client must use: you type those, and your CA confirms them. It is not tax advice.

Frequently asked questions

How do I work out my hourly rate as a freelancer?

Add up your monthly costs and the income you want, add your profit margin, and divide by the hours you can bill in a month. For example, ₹19,000 of costs and ₹80,000 of pay with a 10% margin need ₹1,10,000 a month; with about 101 billable hours that is ₹1,090 an hour. The calculator does this from your own figures and gives day, session and project rates from it.

What share of my hours can I bill?

Only you can measure it: track a month of work and divide the hours clients paid for by the hours you worked. Until then, our suggestion is 60 to 70% for a freelancer, a little less for an agency that pitches and manages staff, and a little more for a clinic, salon or tutor whose day is booked in sessions. The lower the share, the higher the rate you need.

How much does a 10% discount cost me?

At your lowest rate, a 10% discount means you need 11% more billable hours to earn the same (1 ÷ 0.9 = 1.11). If your hours are already full, it costs you 10% of the month's income instead. To offer the discount and keep your rate, set a higher list price: ₹1,090 ÷ 0.9 = ₹1,211, which the calculator rounds up to ₹1,220.

Do I need GST registration as a freelancer or consultant?

You must register once your aggregate turnover in a financial year passes ₹20 lakh (₹10 lakh in Manipur, Mizoram, Nagaland or Tripura), counting all your supplies under the same PAN; the same limit covers clients in other States. Section 24 lists cases that need registration whatever the turnover, and a person whose services are all exempt does not have to register (section 23). Until you register, do not add GST to your bills. Ask your CA about your own case.

How does TDS affect the money I receive?

A client who deducts TDS pays you the bill less the tax deducted, and deposits that tax against your PAN. It is not lost: it shows in your Form 26AS, and the credit you can claim in your income tax return is the amount Form 26AS shows. From 1 April 2026 TDS falls under section 393 of the Income-tax Act, 2025. Type the rate your client uses to see the cash you receive; your CA can confirm the rate.
