About the Social Media Report Builder

Make a monthly social media report for a client or for your own business. For each platform, open a post-level export (from Meta Business Suite, LinkedIn or X, saved as CSV) or type the totals: followers at the start and end of the month, reach, impressions or views, engagements, link clicks and posts. Add last month's numbers, your goals, wins, issues and next month's plan. You get a report with a summary, a card per platform, the top 3 posts and the change from last month, ready to print or save as PDF, plus a short summary to paste into an email or WhatsApp. It runs in your browser: nothing is uploaded.

What the report works out

Follower growth is followers at the end of the month minus the start, and the growth rate divides that by the start. Engagement rate is engagements ÷ reach × 100 for Instagram and Facebook, and engagements ÷ impressions or views × 100 for LinkedIn, X and YouTube; LinkedIn and X work out their own rate from impressions. It is our measure, and the formula is printed on each platform card. Change from last month compares each number with last month's, and from an export the top 3 posts are the ones with the most engagements.

Why there are no benchmarks

Platforms do not publish a benchmark for a good engagement rate or growth rate, and averages quoted online use different formulas and accounts. The report compares the account with itself: this month against last month, and each post against the others. Reach added up across posts or platforms also counts the same person more than once, and the report says so.

What this tool cannot do

It cannot sign in to Instagram, Facebook, LinkedIn or X or fetch numbers for you: it uses the exports you open and the totals you type. It does not read follower counts from exports, so you type them for the start and end of the month. LinkedIn exports Page analytics as an XLS file, which you need to save as CSV first. Check the numbers against each platform before you send the report.

Frequently asked questions

What should a monthly social media report include?

Our suggestion: follower growth, reach, engagements and engagement rate for each platform, link clicks if you share links, the posts that did best, how the month compares with the last one, and a short plan for next month. This tool builds all of these, and you add the wins and issues in your own words.

How is engagement rate worked out in the report?

Engagements divided by reach, times 100, for Instagram and Facebook, and engagements divided by impressions, times 100, for LinkedIn and X, because LinkedIn and X work out their own engagement rate from impressions. LinkedIn's own rate also adds clicks and follows. For YouTube we divide by views. The formula used is printed on each platform card.

Can I add my agency logo and colours?

Yes. Pick a brand colour and open a logo file from your computer. The logo is shown only in your browser and in the printout or PDF you save. It is not uploaded.

How do I save the report as a PDF?

Select "Print or save as PDF", then choose "Save as PDF" as the printer. Turn on background graphics in the print settings if the colours do not show.

Is my client's data kept private?

Exports and numbers stay in your browser and are not uploaded. What you type is saved in this browser only, so you can come back to the report later. Use "Clear the form" to remove it, for example on a shared computer.
