How to use the Marketplace Payment Reconciliation

Read what the guide says

This is the Marketplace Payment Reconciliation.

Match orders with payments to find unpaid orders, short payments and extra charges,

with a claim list.

Download your orders report and your payments or settlement report for the same dates from your seller panel,

then open each one or paste its rows with the header row.

Or press Try an example to fill in sample details.

Type your payment cycle,

the date it counts from and your fee terms from your rate card,

then check the matched columns.

Start with the do-these-first list, copy the claim message or download the claim list,

and raise it from your seller panel. Check the next payment report against the list.

It runs in your browser, so nothing you type is uploaded.

Try it free on this page.

1. Add your two reports

From the same marketplace and the same dates. Save each as CSV, or copy the rows with their header row from a spreadsheet.

Orders report

Your orders or sales report: order ID, dates, status and order value.

Payments or settlement report

What the marketplace paid or charged for each order.

Runs in your browser. The reports and the buyer details in them are not uploaded or saved.

2. Your terms

Type them from your own rate card, fee invoices and seller agreement. Fees change by category and over time, so none are built in. They are kept in this browser for next time.

Payment cycle

Our suggestion: 3 days. Amazon.in's seller blog says a bank transfer can take 2 to 3 working days to arrive.

Usually today, or the last date your payments report covers.

Fees per order

Copy TCS and TDS from your payment report and check them with your CA. The product GST rate lets them be taken on the price before GST. If your products have different fee rates, check one category at a time, or add an expected payout column to your orders report.

Returns and matching

Our suggestion: ignore up to ₹5 for rounding. Your terms and shop name are saved in this browser; the reports never are.

About the Marketplace Payment Reconciliation

Paste or open two reports from Amazon.in, Flipkart, Meesho or any marketplace: your orders report and your payments or settlement report. Type your own fee terms (fee %, fixed fee, shipping fee, GST on fees, TCS and TDS, what a return costs you) and your payment cycle in days. The tool matches the reports by order ID and lists orders not paid after the cycle, orders paid less than your terms give, returns and cancelled orders charged more than expected, and charges or payments for orders it cannot find, with the money at stake in each group. You get a do-these-first list, a claim message to send and CSV files. No fee rate is built in. It runs in your browser: the reports are not uploaded or saved.

How the check works

Order IDs are matched after spaces, hyphens, quotes and case are evened out, and all payment rows for one order are added up. For each delivered order the tool works out what your terms say it should pay: the order value minus your fee %, fixed and shipping fees, the GST on those fees and TCS and TDS. A returned or RTO order should cost only the return charge you type, plus the fees if your terms say they are kept, and a cancelled order nothing. An order is late when your check date is past its delivery, dispatch or order date plus your payment cycle and a few extra days. Differences under your allowance are ignored. All of this is our measure, built on the terms you type.

Payment cycles and claims

Amazon.in's seller pages say it pays every 7 days, Pay on Delivery orders included, with faster cycles for some sellers. Flipkart's pages count from pickup or dispatch and give different figures depending on the seller's tier, and Meesho's supplier pages describe a 7-day cycle from delivery, cash on delivery included. Flipkart's seller terms of use ask sellers to reconcile regularly and raise claims on time: a money claim that no Flipkart policy gives its own limit should be raised within 180 days of the issue. Amazon.in has its own claim process for some refunds, called SAFE-T; check its rules in Seller Central help.

What this tool cannot do

It does not sign in to Seller Central, Seller Hub or the Meesho Supplier Panel, and it does not know any marketplace's fees, cycles or report formats, so check the matched columns and type your own terms. Marketplaces change their fees and reports, and your rate card and the marketplace's help decide what you are owed; the tool only shows where your reports and your terms disagree. Mixed fee rates across categories can show false gaps, so check one category at a time or add an expected payout column. It is not tax advice: check TCS and TDS with your CA.

Frequently asked questions

Which reports do I need?

Two reports from the same marketplace, covering the same dates: an orders report with the order ID, dates, status and order value, and a payments or settlement report with the order ID and the net amount paid or charged. Save them as CSV, or copy the rows with their header row from a spreadsheet. The tool matches columns by words in the header, and you can change any match. Excel files: open them and copy the rows, or save as CSV first.

How does the tool know what I should have been paid?

From the terms you type: fee or commission %, fixed or closing fee, shipping fee, the GST on those fees, TCS and TDS, and what a return costs you. Amazon.in says its referral fee varies by category and Flipkart says its commission does too, so if your products have different rates, check one category at a time or add an expected payout column to your orders report, which replaces the sum.

What payment cycle should I type?

The one in your own seller panel or agreement. Amazon.in's seller pages say it pays every 7 days, including Pay on Delivery orders. Flipkart's pages count from pickup or dispatch and give figures from as little as 3 days, depending on your tier, to 7 days. Meesho's supplier pages describe a 7-day cycle from delivery, including cash on delivery. The tool adds a few extra days (3 by default, our suggestion) before it calls a payment late.

Is there a time limit to raise a claim?

Flipkart's seller terms of use say a money claim that no Flipkart policy gives its own time limit should be raised within 180 days of the issue, and that its payment, FBF and SPF (Seller Protection Fund) policies can set their own limits. Amazon.in's SAFE-T claims and Meesho's payment tickets have their own rules in Seller Central help and the Supplier Panel. Whatever the limit, our suggestion is to reconcile every payment cycle and raise gaps straight away.

What are TCS and TDS on my payments?

TCS is tax collected at source under section 52 of the CGST Act; from 10 July 2024 its central (CGST) part is 0.25% of the net value of taxable supplies within a State (Notification 15/2024-Central Tax). TDS is income tax deducted at source; the Income Tax Department's rate chart lists 0.1% for e-commerce payments under section 194-O, and from 1 April 2026 TDS comes under section 393 of the Income-tax Act, 2025. The tool leaves the field blank: copy the rates from your payment report and check them with your CA.
