About the Letterhead Maker

Type your business name, address, phone, email and website, add your logo and GSTIN, and pick one of four layouts and your colours. You see the A4 page as you type. For a company or an LLP, choose the type of business and the tool adds the details the law asks for on its letters, such as the CIN or LLPIN and the registered office, and explains each one. Print the letterhead blank, or type a letter and print it with the header and footer on every page, save it as a PDF, or download a file for Word. It runs in your browser: nothing is uploaded, and only your business details and logo are kept in this browser.

How it works

  1. Step 1

Fill in your business name, type of business, address and contact details, and open your logo file if you have one.

  2. Step 2

Choose a layout and two colours, and fix anything the checks point out, such as a missing CIN for a company.

  3. Step 3

Print it blank, or choose "With a letter", type the letter and print it or save it as a PDF; or download the file for Word.

What a company or LLP shows on its letters

Section 12(3)(c) of the Companies Act, 2013 asks every company to print its name, registered office address and Corporate Identity Number (CIN), with its phone number, and its fax number, email address and website if it has them, on its business letters and letter papers. A One Person Company adds "(One Person Company)" below its name, and a company that changed its name in the last two years shows the former name too. Section 21 of the LLP Act, 2008 asks an LLP for its name, registered office address, registration number and a statement that it is registered with limited liability on its official correspondence. This is a summary, not legal advice.

Printing and the Word file

The page is A4 with 20 mm side margins, and the header and footer sit 12 mm from the edges (our suggestion). When a letter runs past one page, the header and footer print on every page. The Word file is a simple HTML file that Word and Google Docs open; it has the header at the top and the footer at the end, so to repeat them on every page in Word, move them into Word's own header and footer.

What this tool cannot do

It does not check your CIN, LLPIN or GSTIN against government records; it only checks that a GSTIN has 15 characters and starts with a State code. It does not write the letter for you, sign it or send it. The fonts are the ones on your device, and most office printers leave a white edge, so a colour band may not reach the edge of the paper.

Frequently asked questions

Does a company letterhead need the CIN?

Yes. Section 12(3)(c) of the Companies Act, 2013 asks a company to print its name, registered office address and Corporate Identity Number on its business letters and letter papers, with its phone number, and its email address and website if it has them. Choose "Private or public company" and the tool adds these lines.

Do I have to show my GSTIN on a letterhead?

We did not find a rule that asks for the GSTIN on a letterhead, so the field is optional: add it if you want buyers to see it. Rule 46 of the CGST Rules does ask for the GSTIN on a tax invoice, which you can make with our GST Invoice Generator.

What about a proprietor or a partnership firm?

The Companies Act and LLP Act rules on letters apply to companies and LLPs. For a proprietor or a partnership firm, the letterhead shows only what you type: usually the name, address, phone, email and GSTIN if registered.

How do I save the letterhead as a PDF?

Press the print button and choose "Save as PDF" as the printer in the print window, with the scale at 100%. The PDF is A4 and keeps the colours and the logo.

Are my details saved?

Your business details and logo are kept in this browser, so the letterhead is ready next time. The letter you type is not saved. Press "Forget saved details" to remove them, for example on a shared computer. Nothing is uploaded.
